Using the grievance portal

Before you submit: protect your privacy

Take a moment to review this guidance. Confidential handling protects access to your identity; it does not guarantee that your activity cannot be traced.

  • Use the confidentiality option when needed

Your name, email and phone are still required. Select “Keep my identity confidential” to restrict who can view those details. Avoid repeating your own identifying details in the grievance narrative unless they are needed to explain the complaint.

  • Choose your device and connection carefully

Where possible, use a personal device and a connection you trust. Employer-managed or shared devices and networks may keep records of your activity.

  • Check the portal address

Use the official AAU portal address you were given and check that it uses HTTPS. HTTPS encrypts the connection, but does not by itself prove that a website is genuine. Avoid unexpected links asking for your sign-in code.

  • Keep sign-in codes to yourself

Never share a sign-in code, including with anyone claiming to be AAU staff. Enter it only on the official portal. Ignore code emails you did not request.

  • Check evidence for identifying information

File names, document properties, comments, photographs and videos may reveal names or locations. If identity protection is important, ask the designated intake or confidentiality officer for advice before uploading. Preserve your original evidence.

  • Protect your reference and sign out

Keep your complaint reference private. Sign out when you finish, especially on a shared device. Do not leave downloaded evidence or sign-in emails accessible to other people. Private browsing does not remove records kept by a network or employer.

Choose a programme

Each programme has its own handling team and published process. General AAU concerns use the General AAU programme when it is available.

Keep a portal account

Sign in using a one-time email code to follow your complaints, save a draft and send information securely.

With a portal account, you can choose portal-only updates. Sign-in codes still require email. Without an account, email updates remain enabled.

Your identity

Details are still collected. Only a separately authorised programme intake or confidentiality officer can review a protected identity. Sensitive cases have additional access restrictions.

This portal is not an emergency service. For immediate danger, contact the appropriate local emergency service.
